How to create an invoice online in 5 steps

10 key elements every invoice should include
An invoice missing key details can delay payment or get bounced back by a client's accounts payable team. Make sure yours includes all 10 of these essentials.
A clear “Invoice” header
The document should be unmistakably labeled “Invoice,” not a quote, estimate, or receipt, so it's processed correctly on the client's end.
A unique invoice number
Every invoice needs its own reference number for tracking, bookkeeping, and resolving any disputes. Sequential numbering (001, 002, 003...) is the simplest system.
Your business details
Your legal business name, address, phone number, and email — so the client (and your own records) can clearly identify who issued the invoice.
Client details
Your client's name or business name, billing address, and direct accounts payable contact information.
Issue date and due date
The date the invoice was sent, and the date payment is expected. Standard terms are Net 15, Net 30, or due on receipt.
Itemized description of goods or services
A clear breakdown of what was provided — avoid vague labels like “services rendered.” List quantities and units where relevant.
Rate and subtotal
The price per unit, hour, or item, along with the calculated subtotal before tax and discounts.
Tax, discounts, and fees

Is an invoice legally binding? What do you actually need to include?
In the US, there's no single federal law dictating exactly what an invoice must contain — requirements are mostly set at the state level and vary by industry. That said, a properly issued invoice does function as a legal record that you're owed payment.
A few practical points worth knowing:
- A federal tax ID (EIN) is generally not required on every invoice, though some B2B clients may request it for vendor records.
- Sales tax requirements depend on your state and what you sell. If tax applies, show it as a clearly labeled, separate line item with the rate stated.
- VAT-registered businesses (outside the US) typically must include a VAT number and show the VAT rate and amount separately.
- Sequential invoice numbering isn't strictly mandated in the US, but it's standard practice and makes bookkeeping and tax records far easier to defend.
- Keep invoice records for at least three years, in line with general IRS recordkeeping guidance for business tax records.
